Field App — Crew Quick Guide & Video Shot-List · field.civilsnap.ai
The field app runs in your phone's browser — no install. Sign in once with your own email and password and it stays signed in. This guide covers each screen. Every screen also has a “?” button (bottom-right) that opens the same how-to on your phone, so you can check it whenever you need to.
1Getting started
- Open field.civilsnap.ai on your phone. Tap Share → Add to Home Screen so it opens like an app.
- Sign in with your email and password (from the office). Change your password after the first sign-in.
- Allow location and camera when asked — the app stamps every photo with GPS and time.
- No signal? Keep working — photos and forms are saved on the phone and sync automatically when you're back online.
Tap the ? button at the bottom-right of any screen for a step-by-step how-to of that exact screen.
2Screen-by-screen
Your day (job list)
- Your jobs for today show under Assigned to you. The top counters show photos missing, permits to do, and jobs ready to submit.
- Search a job by its equipment/job number.
- Tap a job to open its checklist. Or use the two buttons up top: Site induction and Photo form.
Site induction
- Check the site/location at the top.
- For each person: name, email, mobile, then have them sign on. Add more with + Add another visitor.
- Tick PPE, terms & conditions, follow directions — read the terms out with them.
- Add photos/video of the crew and site if needed (tap a thumbnail to view it full-screen).
- Hit Record audio and talk through what was discussed — it turns into notes you can edit.
- Save & email induction — everyone gets a signed PDF and it's stored in the office.
Photo form
- Name the form (e.g. “Photos of the side of the road”).
- Add photo / Add video — each gets GPS + watermark automatically.
- Add a note (type or record a voice note).
- Save photo form.
Permit to Dig / Authority to Work
- Confirm services located and IFC drawing confirmed — before any digging.
- Complete the risk and equipment details.
- The team leader signs the Authority to Work. Once approved you'll see Clear to dig.
Never break ground before the permit is approved and services are located.
Capturing artefacts
- Tap each checklist item to take the photo. Frame it so the detail (tag, tape measure, ducts) is clear.
- The app burns company, job, address, time, GPS and your name onto the photo.
- The AI review tells you if it's good or needs a re-shoot — re-take it there and then.
Pot-holes & pits
- Pot-hole: photo of the exposed service + a measurement, then enter the depth and asset type.
- Pit: capture with the pit tag visible and add the pit number.
Can't build it? (IFDV)
- Describe why it can't be built as designed, add a photo/video of the issue.
- Tick which office contacts to notify — they're emailed straight away.
Sign off & send
- Review the captured artefacts.
- Add any comments for the office.
- Submit — missing items are flagged before it will send.
3Video shot-list (for filming the how-to clips)
Keep each clip 30–60 seconds, filmed on a phone in portrait, on a real (or demo) job. Talk through it plainly. When a clip is done, send us the link (YouTube unlisted or Vimeo) and we'll wire it into that screen's ? button so the crew can watch it in the app.

Filming tips: hold the phone steady (or lean on the ute), keep the sun behind you, and say the job number out loud so the clip is easy to place. A 2-minute overview clip is also handy for brand-new starters.
